Registration Terms & Conditions 

As a registered attendee or participant (“you”) in AAE24 (the “Event”) you agree to these terms and conditions (collectively, the “Agreement”) with the American Association of Endodontists (“AAE”). If you are completing the registration on behalf of another individual, you warrant that you have made the attendee or participant aware of this Agreement and that he or she has accepted these terms and conditions. 

Attendee Requirements 

  1. Admittance. Your registration entitles you only to admittance to the Event. All other costs associated with your attendance (e.g., travel and accommodation expenses) shall be borne solely by you, and AAE shall have no liability for such costs. 
  2. Visa Requirements. It is solely your responsibility to comply with any government visa requirements and failure to do so does not constitute a basis for a refund. 

Cancellations 

Registration packages will be refunded, less a $100 processing fee ($50 for students and staff), if the AAE receives written notification of cancellation by March 20, 2024. The assistant executive director of meetings and continuing education will review refund requests made in writing after this date as a result of emergencies or other serious events. Requests received after April 12, 2024, will be reviewed following the meeting.  

Submit cancellations to Maritz or call the customer service center (Monday-Friday, 9 a.m. – 6 p.m. EST) at 864-208-2762 to submit your cancellation request.  

Registration refunds approved by AAE will be issued within 5 to 7 business days. All refunds will be issued back to the original form of payment. 

Please remember that cancelling your registration does not automatically cancel your hotel and travel arrangements. Individual attendees are responsible for cancelling their own hotel and travel reservations. Please reference your hotel and travel confirmations for their specific refund and cancellation policies. 

Workshop Cancellation and No-Show Policy 

Refunds for AAE workshops will not be granted, regardless of the circumstance, after March 20, 2024. A no-show occurs if a registrant does not cancel in advance of AND/OR does not show up for their scheduled workshop within 15 minutes of the published start time. If a registrant no-shows, they will forfeit their spot at the workshop and an individual from the waitlist will be given their place. 

Tour Cancellation & No-Show Policy 

Tickets for optional tours will be refunded, less a $10 processing fee per ticket, if the AAE receives written notification of cancellation by March 20, 2024. Cancellations received after this date are not eligible for refund. A no-show occurs if a registrant does not cancel in advance of AND/OR does not show up for the tour within 15 minutes of the published departure time. If a registrant no-shows, they will forfeit their spot for the tour and an individual from the waitlist will be given their place. 

Activity Cancellation & No-Show Policy 

Optional activities require attendees to RSVP during the registration process. Some activities may require an additional purchase from a separate, non-AAE vendor in order to participate. Should an attendee cancel or no-show for a designated activity, any refunds for purchases made from a non-AAE vendor must be requested directly from said vendor. AAE will not refund attendees for any purchases made outside of our registration system. 

A no-show occurs if a registrant does not cancel in advance of AND/OR does not show up for the activity. If a registrant no-shows, they will forfeit their spot for the activity. 

Code of Conduct 

I have read, understand and agree to the AAE Code of Conduct for Conferences and Tradeshows and the AAE Meetings and Events Health and Safety Code of Conduct.  

Consent to the Use of Photographic Images and Audio/Video Recordings 

I understand that portions of this AAE meeting may be photographed or audio/video recorded for various purposes, including reporting, promotion, archival, or sale and distribution. By registering, I agree that the AAE may photograph or record by audio/video my attendance and involvement in any portion of the meeting. Furthermore, I agree that the AAE may use these photographs and/or recordings without additional approval or permission.

Confirmation 

Registration confirmations are auto-generated by the AAE’s registration provider, Maritz, and sent to the email address provided during the registration process. If you did not receive your confirmation, please contact aaendo@Maritz.com.

Communications

By completing the registration process and acknowledging these Terms and Conditions, you are providing your consent to receive emails and other mailings from AAE related to the Event in order to facilitate your participation. Specifically, you are providing consent to allow AAE to use your Contact Information to facilitate access to the Event programming, including all digital platforms related to the Event. 

Fees 

  1. Payment. All applicable fees are due upon registration. If payment is insufficient or declined for any reason, AAE may refuse to admit you and shall have no resulting liability. 
  2. Taxes. Fees may be subject sales tax, value added tax, or other taxes and duties, which, if applicable, will be charged to you in addition to the fees at the time of registration processing. 
  3. Discount and Special Rates. There are no special rates for daily attendance, expo hall only attendance, etc.; only full conferences passes are available.  
  4. Categories. I understand that AAE reserves the right to review each registration for the appropriateness of the selected registration category. Registrants who register in a category other than the suitable correct category will be changed to the correct AAE Member or Non-Member registration type and charged the associated fee. Please note, only certain registration types are allowed access to educational courses. Choosing a guest category as a Professional will restrict your access and you will not be eligible for CE. 

Waiver of Liability & Release 

In consideration of being allowed to attend AAE24, I, on behalf of myself and all guests of mine, freely waive, release from liability, assume all risks, and covenant not to sue the American Association of Endodontists (AAE) or its members, employees, board members, agents, or volunteers for any expense, loss, damage, personal injury, illness or sickness (including but not limited to those caused by known or unknown infectious or communicable disease such as COVID, H1N1, or other illness or sickness caused by other bacteria or viruses), harm, injury to the person (including loss of life), disability, property damage, or property theft or actions of any kind that I may hereafter suffer resulting from or arising in connection with attendance at, travel to or from, and/or participation in any activities associated with this Event, whether caused by negligence, intentional act, accident, act of God, or otherwise, and whether occurring before, during, or after the Event.
